Deposits

  1. All Deposits should be recorded in a proper Deposit Book.
  2. Deposits should, where possible, be made in a branch before a teller, rather than through a machine. This provides additional security, since the teller is likely to catch any errors in the Deposit, which in turn means fewer accounting adjustments and confusion in the State books.
  3. The following information should be recorded in the Deposit Book:
    1. the name of the actual accounting entity (e.g. "Ordo Magni Operis", "Duchy of Paracelsus (OMO)", etc.);
    2. depositor's initials—the Order name can be used for this purpose if desired;
    3. other information as indicated in the Deposit Book;
    4. associated receipt numbers, in the margins for cash and in lieu of names for cheque identification—this facilitates tracing Cash Receipts back to their source.
  4. A printed Receipt for the transaction should be requested—this allows the Exchequer to keep the Deposit Book as a record, while the printed Receipt can be forwarded to the Chancellor for filing as a backup record.
  5. When the Deposit Book is full, it should be filed with the Chancellor and a new one should be obtained from the bank.
